AAEA Professional Improvement Foundation Large Grant Request ($5,000 or More) Applying for a Grant Evaluation Criteria and Process Specific evaluation criteria are provided under the Application Guidelines section of the Request For Proposal (RFP). Each proposal may receive a maximum of 100 points. A committee appointed by the PIF Executive Committee will select the grant awardees. Application Guidelines Cover Page All proposals must include a completed and signed cover page (A sample cover page is included as the final page of the RFP.) Legal Name of Organization to which the award should be made. For secondary education institutions, the name of the school, not the school district (if applicable). Type of Performing Organization--two-year or four-year postsecondary institution (if applicable) Project Implementation Date Project Completion Date Project Coordinator Name and Title Principal/Institution Head Name and Title (if applicable) Project Coordinator address, city, state, zip, and phone and fax numbers Project Coordinator Signature and Date Principal/Institution Head Signature and Date (if applicable) Section 1: Project Summary Provide a 50- to 75-word summary description of the project. Section 2: Project Narrative maximum of six pages (not including the cover page, project summary, or budget) typewritten, double-spaced, font no smaller than 12-point, one-inch margins) a. Detail the potential for enhancing the American Agricultural Editors' Association, including project need and justification (25 points). b. Describe the project's objectives, plans for management and cooperative linkages (15 points). c. Identify a project timetable including all important milestones and dates related to the project's start-up, execution, evaluation and sustainability (15 points). d. Explain the expected products and results and their potential impact or outcome (15 points). e. Describe the project evaluation and commitment to completion as well as possible project continuation or sustainability (15 points). Section 3: Budget (15 points) Include a specific, line-item budget of project expenses. Include a specific line-item budget of cash matching funds, including the source of matching funds. If more funds are required to implement this program beyond the funds requested from the PIF and the required cash matching funds, include a line-item budget for them, including their source. Provide a budget narrative to explain each line item in the budget. Proposal Submission Deadline Proposals will be reviewed three times a year: February 28, June 30 and September 30 and must be postmarked no later than February 1, June 1 and September 1, respectively. Send proposals to the AAEA Professional Improvement Foundation by regular mail, express mail, courier service or e-mail. Faxed proposals will not be accepted. What to Submit If mailing, applicants must submit a non-returnable original and one photocopy of the complete application, and keep a copy for themselves. Or e-mail proposals to ageditors@aol.com. The subject line should say PIF Grant Request. Notification of Awards Applicants will be notified in writing of funding decisions, postmarked no later than four weeks after proposal submission. Responsibilities of Grant Recipients Grant recipients must submit a final report of project activities to PIF when the project is completed. This report will be shared with the grant program sponsor and featured in the AAEA ByLine and other publications and public references.
